Remote Meeting Guide

Planning to attend a remote meeting or training? Follow these steps.

Plan your audio needs in advance

Preventing audio feedback is very important! Everyone in the meeting may need to be muted and use the chat if there is feedback.

Are you the only person attending?

  • Use a headset plugged into your computer OR
  • Call in via phone and mute your computer

Are you and one or more colleagues logging into the meeting together?

  • Call in via phone and mute audio on all computers in the room

Never use the "computer audio" option without a headset. Never have your computer audio on if you call in via phone.

Get familiar with Zoom

SWAN uses Zoom for all of our remote member meetings. There are several ways to connect to Zoom, a web app you can connect to using your browser and a desktop app, which will require you to download software in advance.

Work with your library IT support

If you have an in-house library IT support person, or someone on staff you turn to, we recommend that they review technical requirements and make sure staff are able to connect to virtual meetings.

Sign in early

We recommend signing in at least 10 minutes before the start of the meeting.

Connection information is in the meeting details in the  L2 Library Learning calendar.

Follow online meeting etiquette

  • Test your technology before the meeting, including WiFi and audio.
  • Mute your phone or microphone when you aren't speaking.
  • Don't interrupt or talk over people - you may need to give speakers a little more time than in-person meetings.
  • Be engaged and avoid working on other tasks, like checking email.
  • Make sure you are in a quiet area free of noise and distraction.
