MobileStaff Kits

SWAN offers three, circulating MobileStaff kits. These kits are designed for library staff use and contain everything required to circulate materials, register users, or conduct an inventory. 

These kits are available to request in WorkFlows as SWAN MobileStaff Kit.

Getting Started

To ensure kits are safe in transit, each case is secured with a padlock. To allow staff to easily check the contents, the combination to the padlock (READ) has been added to a circulation note on each record.

MobileStaff users are preconfigured for each library and follows an XXXCIRCM format. Credentials for Symphony users are available on the director's page.

Before using MobileStaff for the first time, both Discard and Missing user IDs must be configured:
· Tap Setup

· Tap on Deselect/Holds

· Edit the user ID fields for DISCARDXXX and MISSINGXXX by replacing XXX with your library’s 3-letter agency code in UPPERCASE. 

· Tap Apply to save changes 
 


Issuing a new card

· Select Add User from Main Menu

· Enter in user information, ensuring all necessary fields have been filled in

· Note: Scanning the large barcode on the back of a drivers license can save time by auto-populating many fields

· Be sure to scroll through all fields

· When finished tap Add

Checking Out

· Select Check Out from Main Menu

· Scan or enter the user’s library card. Users may also be looked up via User Search

· Touch Start to begin scanning items

· Scan or enter item barcodes—these may be scanned using either the Bluetooth scanner or iPad camera

· Once all items have been scanned, simply close the user's information. Receipts my be issued via email or Bluetooth printer.

Inventory Material

· Before starting your inventory, please review the Inventory documentation    

· Select Inventory from the main menu

· Scan or enter item barcodes in shelving order. You will receive an alert if an item is not in the correct order on the shelf.
