Filters and Facets

Aspen includes many options to filter your searches. This documentation is intended for library staff to understand how facets use our MARC data.

Facet definitions

Format Category

Matches the buttons at the top of the screen: Books, Audio Books, Movies, Music. Groups several formats into one filter.

Search Within

Toggles up at the top of search results that include Entire Collection, Local Collection, Available and Available Online

Available At

Shows what is owned AND available at the library.

Format

Formats come from the bibliographic record, with a fallback of the 590a if Aspen cannot determine from the record.

E-Content Collection

Any integrated econtent vendors including side loads.

Literary Form

Aspen determines fiction versus nonfiction using several checks in the bibliographic record, first looking at the 006 then moving on to the 008.

Audience

From the item category 2 or 999z.

Author

From the 100 a,b,c,d,q or 110ab

Series

Can come from a variety of sources:

  • Novelist (if your library subscribes)
  • MARC 830anp 830v, 800pqt. If not found in the 830 or 800 fields, look at the 490.
  • OverDrive - series
  • Hoopla - series & episode

Subjects

From various subfields within the 6XX field.

Language

The language facet is pulled from the 008 in position 35-37. Aspen displays the English versions of these languages (i.e. French, German, Spanish, etc.)

Awards

The Awards facet is pulled from the 586$a and any dates will be taken out.

Movie Rating

From the 521a, compares patterns to pull MPAA ratings out of the data into the options of G Rated, NC-17 Rated, Not Rated, NR Rated, PG-13 Rated, PG Rated, R Rated.

Added In The Last

Looks at the first date that the grouped work (note: the grouped work and not the individual record) is added to the catalog.

Publication Date

264 subfield c or the 260 c or 008 position 7-10; Aspen will give you the option to sort and you can jump to a year, 5 years, 10 years.

AR Interest Level (Advanced search only)

Renaissance Learning based off ISBN- we get a weekly download automatically. 

AR Reading Level (Advanced search only)

Renaissance Learning based off ISBN- we get a weekly download automatically. 

AR Point Value (Advanced search only)

Renaissance Learning based off ISBN- we get a weekly download automatically.

Lexile measure (Advanced search only)

521 subfield a and subfield b but only if subfield b contains the word lexile in it.

Shelf Location

Shelf location data from the item record, or 999l

Keyword search facets

Anticipated go live in February 2026. Only available for the web catalog, not yet available in the app.

The Search Interpreter feature applies filters automatically based on keywords. The term itself is stripped from the search (e.g. "DVD") and instead a facet applied.

Format terms

All format terms that match a format facet are applied, with the exception of "game" and "book".

  • A search for "playstation" or "xbox" will apply the format facets related to those platforms (e.g. PlayStation 4, PlayStation 5)
  • A search for "picture books" will apply a Subject facet for "picture book"
  • "movies" and "videos" will apply a Format Category facet for "Movies"

Audience terms

  • "for kids" adds an Audience facet for "Juvenile"
  • "kids books", "kids movies", "kids dvds", and "kids blu-ray" applies both the Audience and Format facets

Language terms

A search for "in" plus any of the following languages will apply a language facet.

  • in Spanish / en español
  • in French / en français
  • in Polish / w języku polskim
  • in Japanese / 日本語で
  • in German / auf Deutsch
  • in Castilian / en castellano
  • in Chinese / 用中文
  • in Italian / in italiano
  • in Arabic / باللغة العربية
  • in Portuguese / em português
